Field Trip Procedures
To make your field trip experience to our center more successful, please note the following:
- The classroom teacher and chaperones are responsible for the control and behavior of their students, at all times, during the visit to the Renaissance Center.
- Due to our scheduling process, your shows may not be seen in the order selected. We will make every effort to ensure that you see the programs chosen within your time allowance. If you require a finalized schedule, request one via e-mail from on the Monday prior to your visit.
- Have your children wear nametags with your school/organization name.
- Plan to arrive 15 minutes prior to your first scheduled event. If traveling with a large number of children, you should allow an appropriate amount of time for restroom breaks prior to your first scheduled event. We understand that delays, at times, cannot be avoided; however, if your group is late we cannot guarantee that we can hold a scheduled show/event. If you are behind schedule, call (615)740-5572 (front desk). We will do our best to accommodate your group when you arrive.
- Upon arrival to our center, please have one group representative check in at the front desk to make payment, pick up your schedule and a map of the facility. If you are paying upon arrival, please make your check payable to The Renaissance Center. During this time, your children/group should gather in the Rotunda from which you will be directed to your first event.
- Lunches: If you are bringing lunches, please bring them in a cooler OR have them in boxes by classroom. Lunches should be brought into the center when you arrive and they will be delivered to your assigned eating area. Teachers and chaperones accompanying the field trip group are responsible for supervision and assistance with the children and their lunches in the lunchroom.
- The Virtually Unlimited Bookstore is located inside The Renaissance Center. There are various items available for purchase for $1 or less. Our policy states that children must be accompanied by teachers/chaperones at all times when visiting the bookstore. **Please schedule your visit during the group's lunch period or after your field trip schedule has been completed.
- A minimum of 25 persons is required to open a venue for a field trip, not including art or music workshops. The minimum price charged for a Cybersphere, Faraday or Live Theater Performance is a 25-person charge, unless you have joined another group.
- Do not bring additional children, teachers or parents/chaperones without first contacting the field trip coordinator prior to your visit. Failure to follow this procedure could result in overbooking for your events and part of your group not being admitted to an event.
- Cancellation of a field trip, due to inclement weather, should be made no later than 8:30am the day of the field trip, so as not to incur further charges.
